AAD Group Room Packages Route Through FHT Global for 2027

AAD routes 2027 group room packages through FHT Global inside its Maritz Global Events partnership. Registration opens November 18, 2026 and the housing deadline lands February 24, 2027.

Group room packages for the 2027 AAD Annual Meeting are managed by FHT Global. The Academy states the arrangement on its registration dates page: "In partnership with MGE, group room packages will be managed by FHT Global." MGE is Maritz Global Events, the official registration and housing provider. The meeting runs March 19-23, 2027 at Moscone Center in San Francisco.

Two routes run from that partnership. MGE handles the official registration and the housing. FHT Global handles the group package that sits above a single room. Both routes end at the same housing deadline of Wednesday, February 24, 2027.

Who holds what

The Academy names Maritz Global Events as its registration and housing partner. Its notice states that unaffiliated companies contact registrants offering registration and housing through sites built to look like AAD pages. The page directs registrants to make no reservation and leave no card details anywhere other than MGE.

The division of work is published. MGE is the registration and housing partner. FHT Global carries the group room packages inside that partnership. A destination team pitching San Francisco inventory for this meeting has one contract route and one package route.

The two dates that set the outreach calendar

Registration opens November 18, 2026 at noon CT for physician, life and honorary members. All remaining categories open November 24 at noon CT. Housing closes Wednesday, February 24, 2027.

Four hotel terms sit between those dates. A cancellation costs $100 per reservation until noon CT on February 24. The fee becomes one night's room and current sales tax after that clock. A one-night deposit posts on or after Friday, February 26. The Academy accepts no changes or cancellations from Thursday, February 25 through Sunday, February 28, and moves changes to the hotel from Monday, March 1.

Those dates set the cost of a release. A reservation cancelled before noon CT on February 24 pays $100. A reservation cancelled after that clock pays one night's room and current sales tax.

The property set to pitch

The Academy names the San Francisco Marriott Marquis as the headquarters hotel. Groups may request a maximum of one room at that property for more than one day on a 24-hour basis. The meeting's advertising rate card groups eight San Francisco properties as its top eight. They are San Francisco Marriott Marquis, Hilton San Francisco Union Square, Westin St. Francis, Parc 55, Grand Hyatt San Francisco, Intercontinental San Francisco, Hyatt Regency Downtown SOMA and Hotel Nikko San Francisco.

Those eight come from the advertising rate card rather than a published room block. The rate card describes a marketing distribution set. The Academy publishes no nightly rate and no block inventory on its meeting pages, so a rate conversation starts with the housing system.

Function space sits under AAD approval

The Academy manages approval of affiliate functions at every official hotel. Its page states that hotels are instructed not to assign meeting space to an affiliate organisation without AAD approval. Affiliate functions include specialty society meetings, publication editorial board meetings and university reunion events. A description or agenda is mandatory for each submission.

Three dates drive that work. The priority space application deadline is Friday, October 23, 2026. Initial space assignments go out on or after November 20, 2026. The submission deadline is Wednesday, January 27, 2027, and later requests run first-come, first-served.

Once space is assigned, the group contracts with the hotel for billing and set-up. Food and beverage minimums and room rental may apply, and a cancelled function may carry a hotel cancellation fee.

The programme clock the space serves

The scientific program starts Friday, March 19, 2027 at 7:30 a.m. and ends Tuesday, March 23 at 12:15 p.m. That window puts an arriving group on Thursday night and a departing group on Tuesday morning. The exhibit hall runs Friday and Saturday from 10 a.m. to 5 p.m. and Sunday from 10 a.m. to 3 p.m. on the Lower Level of the North Building.

The exhibit side carries sleeping rooms

Booth space costs $46 per square foot, or $61 per square foot for premium linear booths. The package includes four exhibitor badges per 100 square feet, access to negotiated AAD housing rates and authorization to request meeting space in AAD-designated hotels. Space assignments continue until February 19, 2027. The exhibit hall page reports limited space available.

Two terms tie that booth to the room block. An exhibitor's cancellation releases any hotel or convention centre meeting space assigned to it and all sleeping rooms assigned to it. Hospitality suites and social functions are limited to exhibiting companies, and a suite request goes through the Academy Housing Service at the same time as the sleeping room request. The prospectus states that space is generally unavailable at the headquarters hotel.

The Academy also prohibits suitcasing and outboarding. Its examples include a non-exhibitor inviting attendees to a demonstration room or a party at the host hotel or a nearby venue. The policy states that a company found in violation may lose its registration credentials and its future exhibit or registration privileges.

Where the pitch lands

A destination team has a four-step sequence. Open the conversation with MGE before November 18, 2026, when registration opens. Reach FHT Global on the package tier in the same window. Treat February 24, 2027 as the last date a cancellation costs $100. File any affiliate space request before October 23, 2026 to sit inside the priority round.
