The Organiser Counts Grand Nationals at Almost Half the City's Suitable Rooms

Music for All's housing policy calls Grand Nationals a city-wide event that occupies almost half of Indianapolis' suitable hotel accommodations. The 2026 field carries 96 bands from 22 states.

The organiser's own measure of the city

Music for All's housing policy describes Bands of America Grand Nationals as a large scale, city wide event that occupies almost half the inventory of suitable Indianapolis hotel accommodations, including more than half of downtown Indianapolis premium properties. The sentence sits in the organiser's 2026 Fall Housing Bureau policy document. It carries no room count, no property list and no definition of suitable or premium.

The same document states that its 2026 Fall participants are filling guest rooms contracted as early as 2020. It describes those commitments as firm contracts with monetary guarantees for contracted venue space and sleeping rooms.

Ninety-six bands, twenty-two states, two exhibition ensembles

The organiser's participating bands list for the 2026 championship carries 96 bands from 22 states, stamped information last updated September 24, 2026. Ohio sends 26 bands, Indiana 17, Kentucky 10, Texas 7, Michigan 6 and Tennessee 5. The other sixteen states send three bands or fewer each.

Two ensembles perform in exhibition, West Chester University and Western Carolina University. Each falls under the same housing mandate as the competing bands when it uses hotel accommodations.

The organiser's enrollment page lists a show capacity of 112 with 99 enrolled and space available, as of June 8, 2026. The venue carries the event as nearly 100 high school marching bands from across the country, and it publishes no attendance figure.

The same four days at the convention center

The Indiana Convention Center's own event feed returns six events for November 2026. One of them runs 11 to 14 November: the Percussive Arts Society International Convention. Grand Nationals occupies 12 to 14 November on the venue's event page and on the organiser's own page. The two events share the Thursday, Friday and Saturday nights.

The rest of the month holds the same shape. The centre's feed lists the National Science Teaching Association Fall Convention from 4 to 7 November, the Monumental Health and Fitness Expo on 6 November, the Midwest Healthcare Engineering Conference and Trade Show from 8 to 10 November, the IU Health Leadership Development Institute on 10 November and the ASHA Annual Convention from 19 to 21 November.

A commitment that runs to 2030

A footnote in the policy document states multi-year event commitments for Grand Nationals and a Super Regional in Indianapolis through 2030, for Super Regionals in St. Louis through 2030, and for San Antonio through 2028. Four years separate the 2026 championship from the end of the Indianapolis commitment. The rooms behind that commitment were contracted six years before the 2026 edition.

What the mandate covers

The mandate applies to all competing and exhibition bands and their booster groups that use hotel accommodations. A booster group counts as a group of parents or boosters who consolidate collective sleeping room arrangements. A band that books outside the bureau will not be permitted to perform and forfeits all enrollment fees.

Every participating band files a Housing Preference Form, including bands staying at a school and bands that drive in and out. Forms submitted by 15 May at 11:59 p.m. EST receive priority placement. Status communication follows by 15 June, and the goal for completing assignments is 1 August. Final rooming lists are due 45 days before arrival, which puts a 12 November arrival at 28 September.

Individual attendees are not required to use the bureau. Rooms the bands do not take are released for individual booking after 1 September at the administrator's discretion. Reductions of more than 20 percent to a block could incur a penalty.

The guide the group buyer cannot read

The bureau's timeline defines a Housing Guide as the document that details hotel options including price, location, amenities and availability. The bureau page's Quick Links list a 2026 Grand Nationals Housing Reference Guide, and that line renders without a link. Four documents resolve from the page: the policy, the two timelines and the Ballad Health East Tennessee Regional partner sheet. The only per-property rate document among the four covers Johnson City.

What the host city holds

The convention center's own hotels page states that more than half of downtown's 7,100-plus hotel rooms sit within blocks of the centre and the stadium. Its numbers block gives 7,100 downtown rooms against 4,700 connected by skywalk. Visit Indy's connected-hotels page counts 12 hotels and 5,200 rooms connected to the convention center, and it puts the total within walking distance past 10,000 with the downtown pipeline included.

The organiser's claim that the championship occupies almost half the suitable inventory cannot be checked against either count without the property list the organiser does not publish. What is published is the week the city holds around it: a four-day percussion convention on the same nights, and a convention centre feed that fills the first three weeks of the month.
