Two vendors plan one route from group enquiry to hotel quote
Groupize and MeetingPackage announced a strategic partnership and a planned integration on 8 October 2026. The release carries datelines of Boston and Espoo, Finland. Groupize sells an AI-native platform for in-person corporate meetings, events and group travel. MeetingPackage sells a central reservation system for groups, meetings and events.
The integration aims to route each meeting to one of two paths. Groupize states the choice turns on the meeting's size, type, complexity and requirements.
The instant path and the bid path
Smaller or standardised meetings take the instant path. Where participating hotels publish rates and availability, MeetingPackage's Instant Quote answers an eligible enquiry with a priced, branded proposal built from the hotel's own availability, rates and rules. Groupize states the planner can move from discovery to confirmation through that route.
Meetings that need proposals, negotiation, complex space, guest rooms, food and beverage or contract terms move to aime SmartBids. Groupize's agentic tool drafts and distributes the RFP, communicates with properties, analyses proposals, compares options and supports negotiation.
Both paths keep the buyer's own rules in place. The release states that enterprises keep their policies, preferred suppliers, approvals and governance.
What a group sales team supplies
Groupize states the six things it aims to reach as the integration develops, subject to support from participating hotels. They are hotel, venue and meeting-space content; day delegate rates and meeting packages; group rates and availability; instant booking for eligible meetings; structured RFP delivery into connected hotel systems; and connectivity with sales and catering and property management systems.
Two entries on that list decide the commercial terms. Group rates and availability come from the property, and Instant Quote prices the enquiry from the hotel's own availability, rates and rules. The property sets the number that leaves the building.
What the two vendors say it changes
The release describes the condition it targets. Hotel sales teams receive requests through many channels and re-enter the same information into sales and catering, property management and other systems. The stated outcomes are fewer unnecessary RFPs, less duplicate data entry and a more structured set of qualified opportunities.
Charles de Gaspé Beaubien, founder and chief commercial officer of Groupize, states that AI should help determine whether a meeting needs an RFP at all.
“If it’s a straightforward meeting and we have the rates, availability, and connectivity, the best experience may be to simply book it,” he said. “If it’s larger or more complex, aime SmartBids can use AI to source, communicate, and negotiate.”
Tania Sidokpohou, partnerships director at MeetingPackage, states that hotels need to be visible where corporate buyers are looking and able to respond quickly when an enquiry arrives.
“By combining Groupize’s AI-powered planning and venue sourcing with MeetingPackage’s hotel sales and booking capabilities, we aim to help hotels win more meeting business,” she said.
MeetingPackage's own account of itself
The release's About block describes MeetingPackage as an AI-enhanced operating system for groups, meetings and events, with a booking engine, AI email and phone agents, eProposal and a groups, meetings and events channel manager. It states the company was founded in Helsinki in 2014 by its chief executive, Joonas Ahola.
What the announcement leaves open
The release describes a planned integration throughout. It states that Groupize “aims to route” each meeting and that the terms apply “as the integration develops”. It publishes no price, no availability date and no named hotel running the connected pair.
A group sales or distribution team can work the release's own six-item list against its systems. That list is the starting point for the first conversation with either vendor.
