Two Events, One Week
Climate Week NYC 2026 runs September 20 to 27. The UN General Assembly's high-level week for its 81st session runs September 22 to 29, with the general debate on September 22 to 26 and on September 28 at UN Headquarters. The two overlap for six days. Both bring delegations, corporate teams, press and security details into Manhattan. A planner sourcing space for either week competes for the same room blocks, the same boardrooms and the same vehicles.
Climate Group hosts Climate Week NYC. Its program lists more than 1,000 events and more than 100,000 attendees. The week opens with the Opening Ceremony on Monday, September 21. The Hub Live runs September 21 and 22 with three plenary sessions, breakouts, side events and roundtables in one venue. The wider program runs across the city and online.
Shorten the Booking Window First
Start the search with the dates you intend to hold. A citywide week rewards the planner who moves first, and an approval timeline does not compress because the city is full.
Issue the RFP with six fields complete: dates, peak room nights, meeting space square footage, food and beverage minimum, AV requirements and the cancellation position you need. A property that receives those six fields answers with a real number. A property that receives a general inquiry answers with a brochure.
Send the RFP to more properties than you intend to use, and give every one a response deadline inside 48 hours. Put the hold deadline on the response itself. A hold in a citywide week needs a written expiry.
Release Dates in the Contract
Ask each property for its release dates per room type and per night, in the contract. A block releases gradually. The planner who holds the release schedule decides which nights to protect and which nights to return.
Audit the block weekly from signature. Compare pick-up against the curve the property projected when it priced the block. Early evidence of a shortfall leaves time to renegotiate. The same evidence in the last month leaves the group exposed to attrition.
Read the attrition clause and the cancellation clause on the same page. Then read the force majeure clause against a citywide week.
Build a Relocation Option
Hold a second option on the same dates with its own hold deadline, and write the relocation clause before signature. The clause states the substitute space the property must offer, the notice period it owes the group and the cost position for both sides.
Confirm load-in and load-out windows in writing, and check whether another booking sits between them. A displaced venue in a citywide week has few substitutes.
Ground transport needs the most lead time. The general debate closes streets around the UN campus and concentrates motorcades in Midtown. Build transfer time into the agenda itself. Name one transport contact for the week, and give that person the delegate list and the driver list before arrival.
The Sustainability Claim Carries a Reporting Obligation
Climate Week NYC organizes its 2026 program under twelve themes, among them Buildings and Infrastructure, Energy and Electrification, Transport and Travel, and Food and Agriculture. The program page states the week explores implementation ahead of COP31 in Antalya, Türkiye, in November.
An event with a sustainability claim inherits a reporting obligation. Decide four numbers before the event: attendee travel by mode, food served and food wasted, energy consumed at the venue, and materials printed. Ask the venue for its metered figures for your dates, and ask for the method in writing. A claim with a method behind it survives a client audit.
What the Calendar Says About 2027
Climate Week NYC's 2026 sponsorship program is full, and inquiries for 2027 are open. A planner can fix dates and space for the next cycle during this one.
