USATF books two downtown Portland blocks, with one rule for groups

USA Track & Field names the Hyatt Regency and the DoubleTree for its December meeting, and cancels rooms booked before registration.

Two properties hold the block

USA Track & Field holds its 2026 Annual Meeting at the Oregon Convention Center from Thursday 3 December to Sunday 6 December. Sessions run 8:00 a.m. to 5:00 p.m. across the four days.

The room block sits at two properties: the Hyatt Regency Portland at the Convention Center and the DoubleTree by Hilton Portland. USATF publishes no nightly rate, no room count, no cut-off date and no release term for either. A delegation organiser who needs a rate for a budget line asks the property directly.

The link arrives inside the confirmation

The block has one route in. The booking link sits inside the registration confirmation email. The event page and the FAQ carry that instruction in the same words.

The order runs membership, then registration, then rooms. A current USATF membership is required to register and attend, and the fee is paid before the link appears.

Each registrant receives their own confirmation and their own link. The block offers no organiser-level code and no group booking route.

The cancellation rule

USATF states the failure mode in a single line on its FAQ: anyone who books within the block before completing registration has the room cancelled.

A delegation organiser reads that line as a sequence. Fix the delegate list. Register each delegate. Let each one book from their own link.

An organiser who reserves twelve rooms and registers twelve people afterwards holds twelve reservations the block can remove. The rule applies to every booking made before registration completes.

The fee step sets the deadline for the list

Registration is $385 per person before 4 November at 2:59 a.m. ET. It is $435 per person from 3:00 a.m. ET that day.

The step is $50 a head. Twelve delegates cost $4,620 on the earlier rate and $5,220 on the later one. Twenty delegates carry a $1,000 difference.

All sales are final. Online registration closes on Saturday 5 December at 3:00 p.m. ET, and USATF permits no in-person registration. A delegate who reaches the venue before 3:00 p.m. ET on the Saturday can still complete registration online.

The wait list

A sold-out block starts a wait list, maintained by the travel department. USATF commits to best efforts on overflow rooms. The JTeam Management booking site carries those options once they exist.

No published room count leaves no way to predict the sell-out from outside. Ask the travel department where the block stands before the delegate list goes out.

Attendees may book nights before and after the meeting, subject to availability, at their own cost.

Credentials are collected one at a time

Pickup opens at the Convention Center on Wednesday afternoon, 2 December. The hours are not yet published.

A registrant collects their own credential. Pickup for another attendee is not allowed, so an organiser cannot collect the stack at the desk.

Every meeting checks for a credential at the door. Open sessions accept any registrant. Closed sessions run by invitation.

Committee travel allowances sit outside the published pages. USATF routes those questions to the committee liaison.

The nights the group needs

A Thursday arrival against the Sunday close is three nights. A Wednesday arrival adds the credential night and makes four.

The Closing Session starts at 8:00 a.m. on Sunday 6 December. Saturday 5 December is the last room night for a delegate who leaves after the close.

The OCC calendar holds the Oregon Ballroom from 29 November to 7 December, eight nights. The programme uses four of them.

The transfer inside the city

USATF provides no transport from PDX to the host hotels or from the hotels to the convention center.

Every registrant collects a complimentary five-day MAX light rail pass at credential pickup. The pass covers the ride to the hall and the return to the airport.

The convention center is a cashless venue and takes card and touchless payment at its outlets.

What the organiser puts in writing

Ask the property for the group rate, the tax line, the cancellation deadline and whether the Wednesday night carries the block rate. USATF publishes none of the four.

Ask the travel department for block status and wait list position.

Confirm the confirmation email has arrived before any delegate books. The block cancels the room without it.
